Microsoft Office M365 Activation and Licencing
When accessing the updated Microsoft Office M365, you may get prompted to sign in for the first time. On a shared computer or hot desk, you will get asked to sign in each time you use Microsoft Office. This is your email address and password, this is not the account you sign into your computer. If you have forgotten your password please visit NHSmail 2 Portal - Home and you can reset this using the security questions you enrolled. If you do not remember these questions or are having difficulties then please contact the IT HUB on x65777 If you receive the follow error message when signing in to licence Microsoft Office M365, and you have been contacted via EMAIL to notify you that you have been assigned a licence sometimes this process can take up to 2 days to complete. You can cancel the licence sign in page, this will allow you to use Microsoft Office M365 for up to 5 days. If after this period the licence has not been assigned correctly please contact the IT HUB on x65777.

Where to find your updated Microsoft Office M365 ICONS / Shortcuts
Commonly used ICONS for Microsoft Office M365 applications are automatically added to the Desktop Less commonly used applications such as OneNote/Publisher are not. You can find these other applications by typing the name of the application, OneNote/Publisher etc. in the search box on your taskbar. If you use one of these other applications frequently you can Pin the ICON to your taskbar.

Save and Send, Microsoft Office 2010 after Outlook Removal
Once Outlook 2010 has been uninstalled, the Save and Send function in Microsoft Office will no longer work. As a temporary measure until we perform the full M365 migration you will need to save your documents to a network drive S: or H: in the West (WSHT), or T: or My Documents in the East (BSUH) then attach them using the web version of Outlook to send. When composing an email, to add an attachment click Attach, Browse this computer. Navigate to the network drive or My Documents where you stored the file you wish to attach, highlight and click Open. To add multiple attachments simply select multiple files. The file will automatically be uploaded to Outlook Web, finishing composing your email message and click Send.

Viewing .MSG files after Outlook 2010 is removed - Mail Viewer app
When Outlook 2010 is removed from your computer, you will be unable to Open .MSG files that you may have stored for historical purposes. Our long-term plan is to convert these files to PDF format which is more easily accessible and secure in the long term. As an interim workaround you may request the installation of a .MSG file viewer called Mail Viewer which will allow you to view these files until such a time we can convert them. You can request Mail Viewer here: 03. Software install : IT Hub - 08:00 - 17:00 - Monday - Friday (freshservice.com) Once this is installed you will have the following icon on your desktop: To open your .msg files: Locate the .msg file you would like to open. Right click for more options and then click “open with”. If mail viewer is an option, select this and your .msg will open. If Mail viewer is not an option continue to next step 2. Within the open with options instead select “choose another app” 3. You will then get a list of programs. If mail viewer is an option, select this and your .msg will open. “Tick Always use this app” if you would like to use this again. If Mail viewer is not an option continue to next step 4. At the bottom of the list will be a “More Apps” option, click this 5. Scroll to the bottom of the list, Tick “always use this app” and select “look for another app on this PC” 6. Select Windows (C:) on the left bar, once this is clicked select “Program Files” (note: Do not select Program files (x86) as this is a different folder) 7. Once in Program files click the folder called “CoolUtils” 8. Click on the “Cool Utils Mail Viewer” folder 9. Click on “Mailviewer.exe”. Your .msg file should now open. Emailing Careflow Discharge Summaries Via Web Mail
The Trust have made it possible to export a copy of the discharge summary before the patient has been discharged, which is possible within Careflow PAS. It will be helpful for complex discharges requiring MDT input outside of the Trust. Instructions from PAS team below. Print discharge summary to PDF From print screen, select the document as before. The print queue will default to Secureprint Click Schedule to change it Schedule Submissions screen opens If a Word Document opens in preview mode you need to close it to generate a PDF Tick box under Selected Communications Select PDF print queue from dropdown Click ‘Updated Selected’ Click ‘Submit’ Save Print Output window opens Find ‘Documents’ folder. Do not save anywhere else on your device. Click Save Careflow print ‘Send Successful’ prompt appears Create an email and attach the PDF from the saved location. Delete the PDF from your ‘Documents’ folder when finished.

On the top right corner of the screen click the cog button, then View all Outlook settings Click General, then Notifications. Configure your notification preferences, then close to save.

Online Archiving – Managing your mailbox
Traditionally with previous versions of Outlook you would have had a PST file containing items that you wanted to keep. These files would be stored on a network drive, and you would need to manually drag messages to this attached storage. These archived email would only ever be accessible via the full version of Outlook, and would need to be configured. With the M365 version of Outlook, full client or web only this has been replaced by an Online Archive. This archive is available on all your devices, phone, iPAD, web outlook and full client Outlook. This is archive is policy driven and once configured will require no interaction. How to setup Online Archiving Outlook Web Right click you Inbox, Choose Assign policy, then select the Archive policy you want to apply. This will configure Online Archiving to move any mail older than 3 months to your Online Archive. You can also apply different settings to different folders. Full Client Outlook Right click you Inbox, select Properties Click the Policy tab, then select the Archive policy you want to apply. This will configure Online Archiving to move any mail older than 3 months to your Online Archive. You can also apply different settings to different folders. Accessing your Online Archive Outlook Web In the navigation pane on the left hand side you will have a separate folder containing your archived messages called In-Place Archive. This folder contains all your archived messages in the same structure as they were originally stored. Full Client Outlook In the navigation pane on the left hand side, you will have a separate folder containing your archived messages called Online Archive. This folder contains all your archived messages in the same structure as they were originally stored.

Outlook Web - Working with Attachments
Opening Attachments Whilst the migration to M365 is in progress, some of the new features within Outlook Web will be unavailable or unsupported until we migrate your department fully in time. To read a document that you do not want to edit, you may choose Preview This will open the attachment if support in an online viewer, this allows you to quickly review the document online. Until we migrate fully to M365 some of the functions such as Edit in Browser or Save to OneDrive are currently not supported. This will be enabled properly when we migrate your department. If you wish to store or edit a document, it must be downloaded first to your computer. This will transfer the file to a location called Downloads on your computer. The following dialog box will appear as this takes place and you can open the file directly from here. If you don’t need to work on these downloaded attachments immedialy you can locate them using File Explorer and navigating to your Downloads folder at a later time. Mutiple Attachments can also be downloaded together by selecting Download all. Adding Attachments to an EMAIL Click Attach, and select Browse this computer. Navigate to the location of the file you wish to attach, highlight and click Open. The file will be uploaded and attached to your email.
