Microsoft OneDrive for Business, Purpose, Benefits and Training
Purpose :- Microsoft OneDrive for Business is included in your subscription to Microsoft 365, this is cloud based storage that is accessible from any device anywhere. OneDrive replaces your H: or My Documents folders and is private storage that you control. Benefits :- Improved collaboration and communication: OneDrive allows staff to collaborate on files and documents in real-time, which can improve communication and productivity. Enhanced mobility and accessibility: OneDrive is accessible from any device with an internet connection, enabling staff to access critical information and documents from anywhere, at any time. This can be especially beneficial for staff who need to access data quickly and remotely. Version Control: OneDrive version control enables multiple staff to work on the same document or file simultaneously without the risk of overwriting each other's work. You can easily see changes and revert to previous versions if needed. Sharing Links: When you share a document by attaching it, you run the risk of people working on outdated versions. Storing Scanned Documents or Attachments from Microsoft Outlook in Microsoft OneDrive
Microsoft Outlook Web To transfer a Scanned Document or attachment to Microsoft OneDrive click the attachment and select Upload, OneDrive. Microsoft Outlook – Full Client To transfer a Scanned Document to Microsoft OneDrive, either click Upload in the ribbon and select OneDrive, or alternatively click the attachment and select Upload, OneDrive. The attachment ICON will change to indicate that this attachment is now stored on Microsoft OneDrive. How to find my uploaded attachments Your attachment(s) that you have uploaded to Microsoft OneDrive will automatically be stored in a folder called Attachments.

How do I access Microsoft OneDrive on a standard device On standard Non-Kiosk devices there are two ways to access your OneDrive 1. Via MS Teams You can access your files from inside the Teams application. Click Files, then My Files and your private documents will be displayed on the right-hand side. 2. Via Microsoft File explorer You can access Microsoft OneDrive from file explorer, by logging into the Microsoft OneDrive App on your device, this is not applicable on Clinical KIOSK devices. If this is the first time using the app on a computer, you will need to sign in. 1. Search OneDrive in the search bar in the bottom left of your screen 2. Select the OneDrive App 3. Sign into OneDrive with your NHS Email and password. Note: You can just click next on the intro pages and then the "Later" button on the "download OneDrive on your Mobile" page Your OneDrive will now open. Microsoft OneDrive will now also appear in your system tray in the bottom right-hand corner of your device. You can launch Microsoft OneDrive from here. You may need to click the ^ symbol to see the icon or access via file explorer.

Accessing shortcuts with OneDrive
Accessing shortcuts with OneDrive Until all shares are moved to Microsoft SharePoint you may still need to access shared drives and documents via shortcuts. These previously were accessed via your My Shortcuts folder within your H: drive. To access these shortcuts you will need to open OneDrive with File Explorer and not teams. The below guide will cover this process. NOTE: This does not work on Kiosk machines. 1. Search OneDrive in the search bar in the bottom left of your screen 2. Select the OneDrive App 3. Your OneDrive will now open. Once inside select the folder "Data From H Drive" 5. Once inside "Data From H Drive" select the folder "My Shortcuts" All your previously saved shortcuts will live in this folder and will direct you to the correct shared drive or folder

OneDrive - Red Cross On Files/Folders
You should see the OneDrive Icon at the bottom right of your system tray (By the Date and time) You might need to click the ^ symbol to see the icon. If the icon is still not visible you might need to follow the below linked guide on how to open OneDrive OneDrive - How do I access Microsoft OneDrive on a standard device If you now right click on the OneDrive icon and then click the Cog Wheel (Settings button) then navigate to the "Account" tab on the left hand side. You should then be able to see your NHS mail account. (Make sure it says the correct name/address and not a colleagues) Just below this you need to click the "Unlink the PC" hyperlink. Once unlinked it should then force you to sign back into your OneDrive account using your NHS.net account. This will then force OneDrive to Sync all your files again.

M365 - A newer version of this file is available on the server Error: Issue: Saving a copy will not let shared users see the data and discarding changes will not sync data for shared users Fix: To resolve this issue the offline cache needs to be cleared 1. Close all office programs: Word, Outlook, Excel, PowerPoint, access Etc. 2. In the bottom right of your screen next to your clock is a small arrow. Click this to open the system tray 3. Click the OneDrive Icon 4. Click on the help and settings icon at the top of the pop up 5. Click "close OneDrive" and press "close OneDrive" when it asks if you are sure 6. On your keyboard press hold the windows key and press R. This will open the RUN command box. (Once opened you can release the Windows key) 7. Copy and paste the following into the run box and press okay. %localappdata%\Microsoft\Office\16.0\OfficeFileCache 8. A folder will now open. Select everything in this folder. You can do this manually or by pressing CTRL-A on your keyboard NOTE: Once selected the folders will be highlighted blue 9. Once everything is selected press the delete button along the top of the folder. This will remove everything in this folder. 10. Reboot the PC. Your documents should now open correctly

One Drive - Restore a Document
Open Teams then click on Files then My Files: Then at the top click on Open in OneDrive, it will open the web access for OneDrive In the browser that opens click on Recycle Bin in the list on the top left This will show you the files that are available to recover, if the file is not listed there click the link at the bottom for Second Stage Recycle Bin. If you cannot find the file you are looking for there then I'm afraid it is not recoverable and will need to be recreated. Hopefully that resolves the issue for you.
